The Migration Process

Nine steps to a clean switch.

Audit your current system
List every number, extension, call flow, feature and connected device. Understand exactly what the new system must replicate.

Review your contract
Check minimum term, notice period, early termination charges and what happens to handsets at the end of the contract.

Confirm your numbers
Verify which numbers you need to keep and confirm they are portable from your current provider.

Select replacement system
Choose the right cloud VoIP, hosted PBX or unified communications platform for your business size and needs.

Build the replacement
Configure the new system in parallel. Set up extensions, call flows, auto-attendant, queues and voicemail before going live.

Test thoroughly
Test incoming calls, outbound calls, mobile apps, call recording and all features before porting numbers.

Port your numbers
Initiate number porting. Your old system remains active during the porting window. Do not cancel it first.

Train your team
Brief your team on the new system, apps and any changes to call handling before the switch.
9
Go live and decommission
Once porting is confirmed complete and the new system is tested, decommission the old service.

Number porting explained

Number porting transfers your existing business phone numbers from your current provider to your new system. This includes geographic numbers (01902 numbers), DDIs and non-geographic numbers (0800, 0330 etc).

The porting process typically takes 2–5 business days for UK geographic numbers. Non-geographic numbers may take longer. Your calls continue operating on the old system during the porting window.

Important: Do not cancel your existing service with your current provider until you have written confirmation that the number port is complete. Cancelling first may lose your numbers permanently.
